A compelling demonstration and a useful pilot answer different questions. The pilot should show how a meeting record works for your people, recordings, language mix and operating environment. Agree those questions before choosing the test cases.
Choose cases that represent the real work.
Include the meetings that make your environment distinctive: mixed languages, unfamiliar terminology, room audio, long discussion or formal minutes. Choose permitted recordings and decide who may inspect the resulting records.
Use a manageable set that the reviewers can examine carefully. It can reveal workflow problems without pretending to establish a universal accuracy rate.
Score the record and the workflow separately.
Transcription, speaker attribution, useful summaries and successful delivery are different dimensions. A single overall score can hide the problem you need to solve.
| Dimension | What to inspect | Evidence |
|---|---|---|
| Transcript | Names, numbers, short turns and language switches | Reviewed passages and corrections |
| Record | Decisions, conditions and follow-up | Reviewer comments |
| Review | Editing and recording access | Completed scenario |
| Delivery | Recipient, format and destination | Observed output |
| Deployment | Processing boundary and operating responsibilities | Agreed component map |
Define pass criteria before reviewing outputs.
Choose what must work and what is negotiable. For example, a pilot might require a correct final decision after review, a report format the committee accepts and a verified delivery destination. Set your own thresholds and record the reviewer effort.
If you measure time, specify start and end points. Distinguish transcription-processing time from the human effort required to review and distribute the result.
Run an exception, not just the happy path.
Check a meeting that the assistant should not join, a shared microphone that requires name review, and a record that needs correction before sending. Verify what the intended user can actually see and change.
- Confirm accounts, permissions and connector actions for the intended plan.
- Document retention, access and external connections for the proposed deployment.
- Keep a list of blocked scenarios and the owner of each follow-up.
Finish with a decision and an operating owner.
Summarise the evidence against the agreed criteria. Recommend proceed, proceed with conditions, extend for specific questions, or stop. Record unresolved requirements, an accountable rollout owner and the next review point.
