A deployment label alone does not describe a data flow. Map the path from the meeting platform or room microphone through transcription, summary generation, storage and delivery. Then record the controls and responsible people at each step.
Draw the actual path of a meeting.
Start with the source: an online platform, a browser recording or an uploaded file. Add each processing stage and output. A private deployment can still require connectivity to an online meeting platform or an enabled destination.
Include the operational data around the content: calendar details, participant names, logs, support access and backups. Make unknowns visible rather than filling them with assumptions.
Ask for evidence at each boundary.
Use a component map that says what runs where and which connection is needed. Request the evidence relevant to your organisation’s policy.
| Area | Question |
|---|---|
| Capture | Which platform connections and permissions are required? |
| Processing | Where do transcription and summary generation run? |
| Storage | Where are content, backups and logs stored? |
| Access | Who can access a record, administer the system or support an incident? |
| Delivery | Which recipients and external destinations are enabled? |
| Retention | How are retention, deletion and backup expiry handled? |
Separate access from automatic delivery.
A person’s ability to open a record is different from receiving it in an email or connected workspace. Review both. Use an appropriate sample to verify the actual experience of the record owner, an invited recipient and an administrator.
Agree what is allowed in a shared destination before enabling automatic sending. A destination can broaden the audience beyond the meeting itself.
Leave with owners and unresolved questions.
Assign an owner to every open item and record what evidence will close it. Include monitoring, updates, backup recovery and support responsibilities in the deployment plan.
Follow your organisation’s requirements for recording notice, consent, policy review and contractual review. Keep the final decision and evidence together so a later rollout change can be assessed against the same baseline.
